Client Experience & Project Coordinator (Part-Time)

Hi, I'm Caytie.

I'm the founder of Mary James Jewels, a fine jewelry concierge business that helps women celebrate milestones, honor legacies, and create meaningful jewelry they'll treasure for generations.

I'm looking for a Client Experience & Project Coordinator to help keep clients, projects, vendors, and timelines moving forward.

I’m not looking for someone who has done this exact job before.

I can teach jewelry.

I can teach our systems.

I can teach our process.

What I cannot teach is a genuine love of organization, communication, follow-through, learning, growth, and helping people bring ideas to life.

You will work directly with me to help create exceptional client experiences while ensuring jewelry projects move smoothly from consultation to delivery.

Compensation

  • Part-time position

  • Approximately 15–16 hours per week

  • Monday–Friday availability required

  • Hourly range: $20–23 per hour, depending on experience

  • Potential to grow into a full-time position by the end of the year

Growth Opportunity

This role is beginning as a part-time position.

As Mary James Jewels continues to grow, our goal is for this role to grow as well, with the potential to become a full-time position by the end of the year.

You'll work directly with me as I build Mary James Jewels. As a former executive coach, I believe strongly in helping people grow into their strengths. I'm looking for someone who is excited to learn, contribute ideas, and develop alongside the business.

What You'll Be Doing

Your job is simple:

Nothing gets stuck.

Not clients.

Not projects.

Not vendors.

Not Caytie.

You'll help ensure every project has a next step, every client knows what happens next, and every detail continues moving forward.

Jewelry Project Coordination

  • Track jewelry projects from start to finish

  • Maintain project timelines and milestones

  • Coordinate with jewelers, gemstone suppliers, and vendors

  • Follow up on quotes, CADs, invoices, approvals, and deliveries

  • Ensure projects remain on schedule

  • Identify delays and proactively communicate updates

  • Maintain detailed project records

  • Identify the next step needed to move every active project forward

Client Experience

  • Schedule client consultations and follow-up meetings

  • Coordinate next steps following client meetings

  • Track client decisions and approvals

  • Provide proactive project updates

  • Ensure every client knows what happens next

  • Help create a concierge-level client experience

Vendor Coordination

  • Communicate with suppliers and vendors

  • Place orders and track deliveries

  • Coordinate repairs, redesigns, and resizing projects

  • Maintain vendor records and communication history

Operations & Administration

  • Maintain project tracking systems

  • Organize client records and CRM data

  • Assist with invoicing and payment follow-up

  • Keep open projects organized and moving forward

  • Identify opportunities to improve systems and processes

Skills & Experience

You do not need jewelry industry experience.

You do need curiosity, initiative, and a willingness to learn.

Experience may come from previous employment, internships, volunteer leadership, sorority leadership, student government, event planning, customer service, administrative support, project coordination, or similar experiences.

You should be comfortable with:

  • Gmail and Google Workspace

  • Google Docs

  • Google Sheets

  • Calendar management and scheduling

  • Internet research

  • Learning new software and systems

Bonus points if you have experience with:

  • Canva

  • CRM systems

  • Project management software

  • Event coordination

Schedule & Location

  • Dallas-based candidates only

  • Approximately 15–16 hours per week

  • Monday–Friday availability required

  • Flexible scheduling during normal business hours

  • In-person collaboration with Caytie at least twice per week

  • Reliable transportation and valid driver’s license required
